Job Summary

Positions in this job family perform a wide variety of responsible office support and administrative functions in support for Des Moines Therapy and Consulting Services, PC. They require proficiency in the full range of general office services and functions as well as specific technical knowledge and expertise in the services of the office.


Typical Duties and Responsibilities

The following tasks and responsibilities are typical of positions in this job family and vary significantly from department to department and from position to position.

  1. Greets clients of Des Moines Therapy, or other personnel (case managers), by phone, in person or through electronic media. Assesses customers’ needs and explains services, processes, procedures, paperwork, and guidelines. Handles requests/scheduling or directs the person or matter to the proper sources. Ensuring satisfactory customer service.

  2. Processes forms, billing, and paperwork to ensure accuracy and completeness; with excel computes or verifies data, fees or payments, enters data and forwards or files paperwork.

  3. Uses an office computer and a variety of office software applications including word processing, Email, and file management. Prepares documents in Word. Creates or maintains files in Excel. May create PowerPoint presentations and use Access or other databases.

  4. May assist in creating or maintaining the department’s website and intranet pages and use web publishing software to create documents, update mailing list, and other web-based resources. 

  5. Operates other office equipment such as a label maker, printers, copy machines, and fax machines. 

  6. May run errands when needed.

  7. May serve as receiver of mail or correspondence.

  8. May have some or all responsibility for department supplies and inventories. Tracks status, orders office supplies, maintains or distributes as needed. 

  9. Files documents and responsible for maintaining and modifying filing practices, including use of electronic rather than paper records. 

  10. May assist in developing or revising procedures, practices and forms.
